A structured pre-order review helps prevent misunderstandings about product identity, quantities, dates and delivery responsibilities. These seven questions form a practical starting point for professional FMCG buyers.
1. Is the exact product confirmed?
Verify the brand, pack size, flavour or variant, barcode and market version. Do not rely on a general product name alone.
2. What quantity does the price cover?
Confirm whether the price is per unit, case, layer, pallet or another commercial pack. Request units per case and cases per pallet.
3. Is the stock available?
Ask whether stock is physically available, expected from a supplier or subject to final confirmation. Confirm the quotation validity and estimated preparation time.
4. What date or shelf-life information applies?
For dated goods, agree the minimum remaining shelf life expected at dispatch or arrival. Allow for transit, customs clearance and distribution.
5. Which documents are included?
List the commercial, transport, origin and product documents required by your customs broker or destination authority.
6. Who manages each logistics stage?
State the Incoterm, named place and transport mode. Confirm responsibility for export clearance, main freight, insurance, import clearance and final delivery.
7. What happens if the order changes?
Understand substitution rules, quantity tolerances, payment milestones and the process for reporting shortages or damage.
